Course Development Process

Pre-Development Stage

  1. Starting the Process: KYVC partner assigns a subject matter expert (SME) and submits draft of project plan to KYVC Director of Product Development. After discussions about expectations of project scope and partnership financial/contractual arrangements, the Director of Product Development alerts Embanet of new project to be scoped out.
  2. Kick-off Call: KYVC Subject Matter Expert (SME) & Embanet conference call to discuss the project.
  3. Statement of Understanding (SOU): KYVC completes and submits SOU to Embanet, including online course number and title used to craft development course shell in KYVC course management system.
    (download) - SOU template
  4. Course Content Submission: KYVC sets up login accounts and creates work area in ANGEL course management system for file sharing purposes during exchange of word docs and AV files. SME completes a word processed copy of the course objectives, course outline and at least 90% of course content (including all wording used in quizzes or surveys, images, audio clips, or scripts for multimedia objects that Embanet will build).
(view) - Recommendations on developing a course outline and course content components for SMEs.
  5. Statement of Work (SOW): Following a review of the SOU, the course outline, and the course content, Embanet provides an SOW outlining pricing information, instructional design approach, and scope of the project to the KYVC Director of Product Development.
  6. Instructional Designer (ID) Appointment: Upon KYVC's approval of the SOW, Embanet assigns an ID to the project and the project commences.

Development Stage

  1. Instructional Design Work Commencement: The ID will initiate work on the course material once she/he has received a finalized version of the course outline and course content.
  2. ID Recommendations to SME: As the ID reviews the content, she/he offers feedback and makes recommendations to the original content submitted by the SME. Open the various links below to view sample documents that an ID submits in the form of a polished version of the original SME content. This is NOT the actual course, rather only a dummy version of the course compiled of a series of word processed documents. The SME must finalize and approve this dummy course with the ID before the Embanet team converts these files into HTML and proceeds with the final upload of content to the Course Management System (CMS - Angel, WebCT, etc.).

Note: Please read the special comments in these documents which appear on the right of the screen (MS Office 2002/XP) or by hovering on the highlighted text in yellow (MS Office 2000 or earlier versions). Annotations highlighted in green to be provided by the ID.

(download) - Lecture document (weeks, modules, sessions, etc.)
(download) - Media document (images, multimedia, etc.)
(download) - Quiz document (exams, surveys, etc.)
(download) - Assignments document (readings, discussions, etc.)
  3. SME Feedback to ID and Content Approval: The SME provides feedback to the ID recommendations and approves the collaborated dummy version of the course in MS Word format. The KYVC and the KYVC partners have the final say on what solution the SME and ID crafts; the ID and SME work in the capacity of a consultant only. KYVC and KYVC partners collectively approve the final version of course, forward a copy of the final course to ID and advise ID to move forward with HTML Coding and Design (see below).
  4. HTML Coding and Design: After the SME feedback is implemented and the MS Word version of the course is approved, Embanet designs the course in online format (HTML, multimedia) and uploads it onto the CMS. The HTML Coding and Design steps entail these items:
    • Design, layout and conversion of MS Word version of the dummy course to HTML format
    • Testing and editing of HTML pages for Web Content Accessibility Guidelines (WCAG) Priority 1 compliance
    • Setup of assessment measures, triggers, discussion boards, etc.
    • Acquisition, development and editing of images
    • Development and editing of multimedia items such Flash animations, audio and video production
    • (view) - Sample screen capture of finished page of an Angel course.
  5. Embanet Review: The ID and the course designer reviews the course to ensure compliance with the agreed upon SOW.
  6. Alpha Course Release: Embanet completes development of the product and uploads an alpha version of the course into the DEV course shell for SME/KYVC review.

Pre-Launch Stage

  1. KYVC Course Review: The alpha review team will then provide to the KYVC Director of Product Development one MS Word document containing any grammar, spelling and content layout revisions that may need to be addressed. Any other revisions, at Embanet's descretion, may be regarded as outside the scope of the project. The revision request document must be prepared using the "Track Changes" feature in MS Word. The following download links provide literature on using the "Track Changes" feature in MS Word to provide revisions along with a sample of reviewed material as it would be submitted to Embanet.
(view) - Tutorial on using the Track Changes feature
(download) - Sample of reviewed content as submitted by the SME to Embanet
  2. Upload Course Review Revisions: Embanet implements the revisions approved by the KYVC and KYVC partners; course completion and sign-off.
  3. Beta Course Release: Final version of course released to KYVC for export to the production course shell.
